Reports
Generate PDF reports with plant data, corporate branding, and configurable structure. Available for manual download or automatic delivery by agents.
Reports
Reports let you generate professional PDF documents with your plant's information: maintenance status, alarm summaries, equipment history, consolidated invoices. The report is generated automatically with your company's logo and colors, ready to present to clients, management, or auditors.
What is it for?
In industrial plants, the information exists but presenting it professionally takes time: you have to gather data from several systems, organize it in a table, add the header with the company logo, and make it look presentable. This manual process can take an hour or more.
With Rela AI Reports, the process takes minutes:
- Define the report structure once (title, sections, what data to include)
- The system fills in the data automatically from your collections
- Applies corporate branding automatically
- Generates a PDF ready to download or send
Additionally, WhatsApp and email agents can generate reports during a conversation: a technician can ask "generate the maintenance report for this month" and receive it directly in the chat.
How does it work?
A report is built with ordered content blocks:
| Block | Description |
|---|---|
| Heading | Section title or subtitle |
| Text | A single line of information |
| Paragraph | Long text with multiple lines |
| Table | Data in rows and columns with headers |
| Key-Value | Label and value pairs (like a technical sheet) |
You can combine these blocks in any order to create any type of document.
Corporate branding (logo, company name, colors, footer) is automatically applied to all reports, using the configuration from the Branding section.
How to use it?
Create a report from the dashboard
- Go to Data > Reports.
- Click New Report.
- Enter the report title.
- Select the corporate branding to use.
- Add content blocks:
To add a table: Click "Add block → Table." Define the column headers (e.g., "Equipment," "Last Failure," "Repair Time," "Status") and the rows with the data.
To add data from a collection automatically: When adding a table block, select a collection as the data source. Optionally enter a search filter (e.g., "line A compressors"). The system loads the records from that collection automatically into the table.
To add a key-value block: Useful for technical sheets or information summaries. Example:
- Plant: North Plant
- Period: January – March 2026
- Responsible: John Smith
- Department: Mechanical Maintenance
- Arrange the blocks in the correct order.
- Click Generate Report. The PDF is generated and available for download.

Generation by AI agents
When the WhatsApp agent has the report generation tool enabled, it can create PDFs during a conversation:
- The supervisor writes: "Generate this week's maintenance report"
- The agent collects data from the relevant collections
- Applies the predefined report structure
- Generates the PDF and sends it back in the WhatsApp chat
Corporate branding in reports
The header of each report automatically includes:
| Element | Description |
|---|---|
| Logo | Your company's logo in the upper left corner |
| Company name | Corporate name next to the logo |
| Header lines | Additional text (division, phone, website) |
| Right text | Confidentiality label or other information |
| Footer | Custom text + generation date + page number |
See the Branding & White Label section to configure branding.

Common use cases
Scenario 1: Weekly report for management The maintenance coordinator generates the weekly status report every Monday. It has a predefined structure with a table of the week's tasks, alarm summary, and KPIs. The complete process takes 5 minutes: open the form, select the data period, click generate, download the PDF, and send it to the manager by email.
Scenario 2: Maintenance report for a client A maintenance services provider delivers a monthly report of activities to their client. They configure branding with their company logo and the client's logo, define the report structure with the metrics agreed upon in the contract, and generate the PDF each month. The document comes out professional and consistent without any design work.
Scenario 3: Report requested via WhatsApp A technician is in the field and needs the intervention history for pump B-12 for a meeting in 20 minutes. They write to the WhatsApp agent: "I need the history report for pump B-12 for this year." The agent generates the PDF with the history from the maintenance collection and sends it directly in the chat. The technician downloads it and has it ready for the meeting.
